Troubleshooting and FAQ

Common problems and quick fixes.

The exam form
  • "Unsaved changes" doesn't go away. Auto-save fires ~30s after your last edit. Click Save & Generate Draft to save now. On a red error banner, check your network; your data stays in the browser until the save succeeds.
  • Save won't go through. A required field is empty. The banner lists the missing fields and the form scrolls to the first one.
  • A finding is missing from the form. It's probably conditional. Check the parent finding's value, or ask an admin to review the condition in the protocol builder.
  • The draft shows {unrecognized placeholder name "..."}. A prose template references a misspelled or missing sub-field. An admin fixes it in the finding editor.
  • The form is blank for a new exam. The protocol has no active structures. Check the protocol builder.
Finalize and unlock
  • Finalized by mistake. Click Unlock on the report screen. You can unlock your own exams; admins can unlock any.
  • Can't see another sonographer's exam. Sonographers only see their own. An admin can open it from All Exams.
Sign-in, password, and roles
  • Forgot password. Use Forgot password? on the login page.
  • Invite link expired. Codes have a max-uses counter and can be deactivated. Ask an admin for a fresh one.
  • Admin, but no protocol builder. Check you're in the right clinic. The clinic name is in the top bar.
Reporting system and PACS
  • Square brackets in my dictation. That's bracket mode. Change it in Protocol Settings, or configure your dictation tool to treat brackets as fill-in fields.
  • Worksheet PDF is missing sketches. Open the annotations panel (Alt+R) and save before printing.
  • An API token stopped working. The owning user was removed or demoted. Revoke and re-create. See Clinic Administration.
Frequently asked
  • Does ProbeScribe write to my reporting system or PACS? No. You copy the draft and upload the PDF yourself. That keeps it out of the diagnostic chain.
  • Is ProbeScribe a diagnostic tool? No. It's a structured-input tool. The radiologist interprets. See Intended Use in the footer.
  • Can I change a finding's field type after exams exist? Values entered under the old type may stop rendering. Prefer adding a new finding and retiring the old one.
  • Where do I get a protocol to import? From your reseller or another clinic, as a JSON file. Click Import Protocol on the Protocols page.
Intended use and limitations. ProbeScribe is a structured-reporting aid for sonographer worksheets and radiologist drafts. It is not a diagnostic device and is not intended for primary image interpretation. The radiologist retains full clinical responsibility for reviewing measurements and findings against the source images. See the full intended use statement.
